What we migrate from Pipedrive to HubSpot
People and organizations
Pipedrive people and organizations become HubSpot contacts and companies, with their relationships kept as associations.
Deals, pipelines and stages
Deal pipelines and stages are mapped to HubSpot, with won/lost times and close dates kept for reporting.
Activities, notes and emails
Calls, meetings, tasks, notes and email activities move to the HubSpot timeline. Logged emails and attachments are scoped for separate handling.
Products and deal products
Pipedrive products become HubSpot products, and products attached to deals become deal line items.
Custom fields and leads
Custom fields map to HubSpot properties. We agree whether Pipedrive leads should become contacts, leads or deals.
Automations, web forms and email sync
Automations and web forms are rebuilt as HubSpot workflows and forms, with inbox and calendar connections set up again for each user.
Common Pipedrive to HubSpot migration challenges we solve
Native tool coverage
HubSpot Smart Transfer is HubSpot's own free native tool and a good starting point for Pipedrive. Attachments, deal participants, deal products and organization relationships go through a one-time post-sync transfer. Custom objects are not supported. Syncing Pipedrive activities needs a Data Hub subscription. Smart Transfer syncs email activities, but not logged emails. We plan what the native tool covers and scope the API or manual work needed for the rest. HubSpot Smart Transfer documentation.
Dates and history
Pipedrive has create dates, won/lost times and expected close dates. We map and check each date so your HubSpot pipeline reports retain the meaning of the original history.
Automations and sequences
Pipedrive automations and sequences do not transfer as logic. We rebuild them as HubSpot workflows and sequences, then test triggers, timing, conditions and actions before cutover.
Cutover during a live sales month
We coordinate a phased cutover and an agreed freeze window around active deals. Each user reconnects their email and calendar, and the team checks upcoming activities before working in HubSpot.

Full data migration
We transfer the agreed data and complete post-sync work, coordinating the freeze window and final changes with your sales team.

Pipedrive to HubSpot migration FAQ
How long does a Pipedrive to HubSpot migration take?
Migrations typically take 2–8 weeks depending on data quality, custom fields, integrations and automations. Record volume alone is not enough to estimate the schedule. We agree on a timeline after the free assessment; larger or more complex projects can take longer.
Can HubSpot's Smart Transfer do this on its own?
HubSpot Smart Transfer is HubSpot's free native tool, supports Pipedrive and is a good starting point. Custom objects are not supported, and syncing Pipedrive activities needs a Data Hub subscription. It syncs email activities, but not logged emails. Attachments, deal participants, deal products and organization relationships use a one-time post-sync transfer. We assess what it covers and scope the remaining data, automation and integration work. See HubSpot's Smart Transfer documentation.
Will we keep deal history, notes and emails?
We map deal dates and history, activities, notes and email activities to HubSpot properties and timelines. Logged emails and attachments need separate handling agreed before cutover. We keep source exports, run a pilot, and reconcile record counts and associations after transfer. Platform differences and unsupported fields are documented for your approval.
Do we need to sync Pipedrive and HubSpot or migrate once?
A migration is a one-time move to HubSpot. A temporary Pipedrive and HubSpot sync during cutover is possible; we scope the objects, direction and end date during assessment. Data moved through a one-time post-sync transfer does not automatically stay up to date, so it needs its own cutover plan.
Which HubSpot hubs and tier do we need?
It depends on your sales, marketing and service teams, your data model, and the workflows and reporting you need. We assess those requirements, including any Data Hub needs, before recommending hubs and a tier. See our HubSpot pricing guide.
How much does a Pipedrive migration cost?
Scoped per project; request a quote after a free assessment. We agree on the records, pipelines, automations and integrations to include before work begins.
