Illustrative workflow

Inbound lead qualification

  1. HubSpot trigger
    New inquiry

Read the contact, company and inquiry fields this process needs.

  2. AI step
    Research and recommend

Use Claude through AI Studio to propose fit, evidence and a next step from the available sources.

  3. Human approval
    Owner reviews the suggestion

Use 0CodeTools to request review in Slack or email. Check the evidence before approving the handoff.

  4. Approved path
    Update HubSpot

Write only the mapped properties and create the handoff task.

Exception path: Missing evidence, failed checks, rejected approvals or timeouts create a review task. Existing business fields stay unchanged.

What we build

AI agents we build into HubSpot workflows.

An agentic workflow uses AI to interpret context and choose from actions you allow. HubSpot supplies the trigger, records and next steps. We define when AI can research, recommend or act, and when it must ask your team.

These are illustrative builds. Each project defines the HubSpot objects, target properties, portal features and review rules the workflow needs.

Research and qualify inbound leads

Trigger
A new inquiry reaches HubSpot.
AI task
Use Claude through AI Studio to read selected contact and company fields, research missing context from approved sources, and assess fit against your qualification rules.
Human handoff
Save the recommendation, evidence and reason for the owner to review. Missing evidence goes to a review task.
Result
Reps open a researched lead with a fit recommendation and supporting evidence.

Route requests from messy data

Trigger
A form or record contains a free-text request.
AI task
Use an AI Studio action to classify intent, job role or company segment into the values your routing rules need.
Human handoff
Keep territory and ownership rules in charge. Unclear requests wait for a person before assignment.
Result
Free-text requests become clean values your assignment rules can use.

Turn calls into CRM follow-up

Trigger
An approved transcript or accessible recording is available.
AI task
Use Claude or an OpenAI model through AI Studio to summarize the call, extract the next steps discussed and draft a follow-up grounded in what was said.
Human handoff
The account owner checks the draft before it changes deal fields or reaches a customer.
Result
The account owner gets a follow-up draft and deal notes grounded in the conversation.

Triage tickets and prepare a handoff

Trigger
A ticket enters a support queue you choose.
AI task
Read the request, suggest its topic and priority, and draft a useful handoff or first response.
Human handoff
A service owner reviews the suggestion. Sensitive or uncertain requests escalate for human handling.
Result
Your support team starts from a categorized ticket and a draft reply.

Draft lifecycle messages for review

Trigger
An eligible contact or deal reaches a milestone you define.
AI task
Use selected CRM context and your messaging rules to draft the next email or renewal note.
Human handoff
A reviewer approves the draft in Slack or email through 0CodeTools before it enters your sending process. Consent and suppression rules still apply.
Result
Your team reviews personalized lifecycle drafts without writing each one from scratch.
Your process

Start with the handoff that slows your team down.

Bring the trigger, an example input and the result you need in HubSpot. We assess whether AI or a standard workflow step fits the job.

Scope your workflow
Native or custom

HubSpot’s own AI agents, or a custom agentic workflow?

HubSpot’s Agent Hub brings native and custom agents into one workspace. Agent Builder lets you configure their instructions, data and actions. Start with the task, the features in your portal and the controls your team needs.

When native HubSpot AI fits

Use a pre-built agent or an Agent Builder configuration when it covers the process. Check record access, available actions, review steps and usage before choosing the setup. Availability depends on your HubSpot plan and enabled features.

When to build a custom workflow

Use AI Studio and 0CodeTools when you want a specific model, your own API key, mapped property updates or Slack and email approvals inside HubSpot workflows. We design the steps around your process and test the handoffs before launch.

How we build

How we build your HubSpot AI agents.

01

Scope the process

Map the trigger, records, decisions and handoff with your process owner. Agree the workflow boundaries, dependencies and acceptance checks in a written proposal.

02

Build in your portal

Configure AI Studio prompts, field mappings and 0CodeTools approval steps in a test path. Your team chooses the data each step can read and the properties it can update.

03

Test the exceptions

Check normal records, missing data, failed lookups, rejected approvals and timeouts. Review the outputs together and check that retries do not duplicate tasks or messages.

04

Hand over the controls

Receive editable instructions, workflow documentation, test results and an operating guide. Train the owner to review results, pause a workflow and change its rules.

Approval and control

Human approvals: your team sets the limits.

A passing test is evidence to review. Permission to contact customers or change business fields is a separate decision your team makes.

01

Draft and review

Start with suggestions in draft fields or review tasks. A named person approves customer-facing output and consequential CRM changes.

02

Authorize routine steps

After testing, you can permit specific routine updates. Record the allowed fields, conditions and exception owner before switching them on.

03

Expand the rules

New actions require an explicit change to the rules. If results drift, your team can pause the workflow or return it to review.

Implementation scope

What a HubSpot AI agent project includes.

Start with one workflow that slows your team down, such as lead triage, call follow-up or ticket routing. Validate it on real records, then expand once the first workflow is reliable. We agree the inputs and acceptance checks in writing before implementation.

Multiple teams, additional systems, custom connectors and substantial data cleanup need their own scope. Software subscriptions, model usage and paid data sources are separate; we identify the required accounts and expected usage before you commit.

The tools behind the build

Build with us, or use the apps with your team.

We use native HubSpot capabilities where they fit. Our apps add AI and approval actions for the steps your process needs.

AI Studio for HubSpot

Run Claude or the OpenAI models behind ChatGPT inside HubSpot workflows for research, classification, extraction and drafting. Use AI Studio credits, bring your own OpenAI or OpenRouter key, or connect a supported endpoint.

AI Studio is up to 4–10x more efficient per credit. Efficiency varies by action, model and plan.

0CodeTools

Add human approval steps in Slack or email, supported connections and other workflow actions to your HubSpot processes.

Combine AI suggestions with a named reviewer and a clear approval outcome before the next action runs.

For model-specific setup, see Claude integration options or bring your own AI endpoint. For AI-client access to HubSpot data, see the existing AI Studio MCP Server.

Common questions

HubSpot AI agents: common questions.

What is an agentic workflow in HubSpot?+
An agentic workflow uses AI to interpret CRM context and choose from permitted actions, such as researching a company or drafting a next step. HubSpot provides the trigger and record updates. We define the allowed actions, checks and points where a person must approve the result.
Can AI agents qualify and route leads using our HubSpot data?+
Yes. A workflow can read the contact and company fields you choose, research missing context, and propose a qualification result with its supporting evidence. Your existing routing rules determine the handoff. Missing evidence and ambiguous requests go to a person for review.
What does the implementation include?+
The scope covers process design, HubSpot workflow configuration, AI instructions, field mappings, approval steps, testing, documentation and operator training. We define the workflows and acceptance checks before the build and provide a project-specific quote. Additional systems or ongoing operation are scoped separately.
How is this different from installing AI Studio or 0CodeTools?+
The apps provide capabilities your team can configure. This service designs and implements your business process: inputs, instructions, workflow logic, approvals, testing and handover. You can use the apps independently or ask Resonate to build the workflows for you.
Which HubSpot plan and AI software do we need?+
Your portal needs the workflow features, object access and permissions required by the build. We check these before quoting. HubSpot subscriptions, app plans, model or API usage and paid data sources are separate from implementation; we identify the required accounts and expected usage during scoping.
Do we need AI Studio, or can we use HubSpot’s own AI agents?+
We start with native HubSpot AI, including Breeze, where it fits. Agent Hub brings HubSpot’s agents together; Agent Builder lets you configure an agent’s instructions, data and actions. We check the task and the features available in your portal before choosing the approach. For Claude or the OpenAI models behind ChatGPT, bring your own OpenAI or OpenRouter key through AI Studio. 0CodeTools adds Slack or email approval steps. An existing chat subscription does not automatically cover API access or usage for an automated workflow.
Can an agent change records or contact customers without approval?+
Only actions you explicitly allow can run. Customer-facing messages and consequential changes start with human review. Selected routine actions can be authorized after testing. A rejected or timed-out approval does not authorize an update or a send.
What CRM data will the AI use?+
We map the fields and sources needed for each workflow and document which connected services receive them. Your team approves that setup before use. We agree how sensitive fields, access changes and missing data should be handled rather than assuming the AI needs every record.
How are milestones and handover agreed?+
We agree milestones after reviewing scope, portal access, data readiness and your team's review process. At handover, your team receives workflow configurations, editable instructions, test results and an operating guide, with training for the process owner. Ongoing monitoring, maintenance and changes can be scoped separately.
